A family heading away, a wedding party or a work team may prefer this size even when a seat or two is spare. That can make more sense than squeezing people and bags into a smaller vehicle, although extra seats do not automatically mean a large luggage compartment.

For a straightforward transfer, send the full pickup and drop-off addresses, the required time and whether there is a fixed arrival deadline. That may be all we need to check the route.

Collecting people from different places? Send every postcode and the preferred order. Extra stops can change the distance and timing, and the quickest route may not follow the order in which the names were sent.

• A Vehicle for the Day

Day hire can suit a wedding, a corporate site visit, a sporting event or a family outing. Give us the schedule, not just the opening address. The quote should make clear whether the vehicle waits, leaves and returns, or completes separate journey legs.

For an intercity journey, weekend away or tour, include each day's route, stops, overnight locations and return time. Parking, ferries, waiting and other trip arrangements should be raised before the quote is accepted.

Airport travel is where a headcount alone can be misleading. A group of 12 with backpacks is a different job from a group of eight with large cases, pushchairs and hand luggage. Send the flight number, terminal and a complete bag count.

Do not stop at the suitcase count. Think about what will be on the floor, beside a seat or in the luggage area. Include:

• Checked suitcases, cabin bags, backpacks and briefcases
• Pushchairs, child seats, wheelchairs, walking aids and mobility scooters
• Golf bags, team kit, instruments, tools and display materials
• Cool boxes, gifts, boxes or anything unusually long, wide or fragile

Twelve passengers and twelve large cases should not be assumed to fit automatically. If the available 12-seater cannot take the group and load safely, we may recommend a larger option.

Makes, seating layouts and onboard equipment also differ. You can ask for charging points, wheelchair access, child seats or another feature, but a request is not a guarantee. Put every essential requirement in the enquiry and check that it is confirmed before booking.

A quote is based on the itinerary supplied. If the route, time, stops, passenger count or load changes, tell us before travelling so the new plan can be checked and, where necessary, requoted.

A useful enquiry does not need to be long, but it does need the facts that affect the job:

• Every pickup, stop and destination, preferably with full postcodes
• The travel date, required pickup time, arrival deadline and return plan
• The exact passenger count, including children and infants
• All luggage, mobility equipment, child seats and bulky items
• Flight and terminal details, venue access notes and any essential vehicle request
